Why invest

The cost of an unprevented flu far exceeds the cost of the vaccine.

Each employee absent due to illness represents a direct and indirect cost to the company. Workplace vaccination is one of the health investments with the highest return on investment.

25% of the population affected by the flu each year in Quebec
3–5 average days absent per flu episode per employee
40–60% Reducing absenteeism from flu with annual vaccination
10 minutes average time per employee during the on-site campaign

Benefits for the employer

Reducing absenteeism

Fewer absences during flu season (October-March)—the most critical period for productivity in many sectors.

Cost savings on indirect costs

Replacement, overtime, drop in quality — the real cost of an absence far exceeds the absent employee's daily wage.

Outbreak prevention

A single infected employee can transmit the flu to several colleagues. Group vaccination creates a collective protective effect that limits the spread.

Strong signal for employees

Offering on-site vaccination demonstrates a concrete commitment to employee health and well-being—a driver of retention and engagement.

What the data says

Workplace flu vaccination can reduce respiratory illness-related absences by 25 to 50 % during the winter season, according to studies published in North American occupational health journals.

Frequently asked questions

Frequently Asked Questions — Workplace Vaccination

Everything employers and HR managers need to know to organize an effective vaccination campaign — logistics, legal obligations, available vaccines, and on-site procedures.

Which vaccines can be administered at work?

The vast majority of vaccines recommended for adults can be administered during a workplace campaign: flu (influenza), COVID-19, Tetanus-diphtheria-pertussis (DTaP), Hepatitis A and B, zona (Shingrix), Pneumococcus, VRS and several travel vaccines as needed. Our nurses arrive with the appropriate vaccines based on your employees' profiles.

What is the minimum number of employees required to organize a campaign?

There is no strict minimum number. We adapt the logistics to the size of your team, whether it's a dozen or several hundred employees. For smaller teams, we also offer in-clinic vaccinations with group or individual appointments. Contact us to discuss the best option for your situation.

How long does an on-site vaccination campaign last?

Every employee is vaccinated in about 10 to 15 minutes, including the signing of consent, vaccine administration, and the post-vaccination observation period (15 min recommended). For a team of 50 employees, allow approximately 3 to 4 hours on-site with one vaccination station. We can deploy multiple nurses simultaneously for larger groups.

What space should be allocated in the premises for the campaign?

A clean space such as a meeting room, cafeteria, or available room is sufficient. We will bring all necessary equipment. For each vaccination station, please provide a table and two chairs. A recovery area nearby (for the 15-minute post-vaccination observation) is recommended. We will send you a detailed preparation checklist upon scheduling.

Is mandatory vaccination in the workplace required for employees?

In Quebec, No vaccinations are generally mandatory. in the workplace, except in certain regulated sectors (healthcare facilities, certain school environments). Participation remains voluntary and is governed by individual informed consent signed before each vaccination. The employer can strongly encourage participation without imposing it, except in case of legal exception or specific internal policy.

Ref: Act respecting occupational health and safety (AOHS), Quebec
Do you offer travel health vaccinations for employees on the go?

Yes. For employees who travel abroad for work, we offer Individual travel health consultations in clinic — destination-based risk assessment, administration of required vaccines (yellow fever, typhoid, hepatitis A, rabies, etc.), and issuance of international certificates. Clinique Omicron is a Yellow fever designated center by the ASPC.

What documents does the employer receive after the campaign?
  • Campaign Report Number of vaccinations administered by vaccine type
  • Turnout rate — compared to the planned registrations
  • Lot numbers — complete traceability of administered vaccines
  • Confirmation PIQ — Compliance with the Quebec Immunization Protocol standards

Each employee also receives an individual confirmation for their vaccination record.

How to manage post-vaccine reactions in the workplace?

Our nurses are trained to manage post-vaccination reactions on-site, including vasovagal reactions (fainting, dizziness) and allergic reactions. A 15-minute observation period is systematically scheduled after each vaccination. Emergency equipment (epinephrine, oxygen) is available. Severe reactions (anaphylaxis) are extremely rare, but our protocols cover these situations.

How to encourage employee participation?
  • Communicate in advance via internal email with clear information on the vaccines offered
  • Integrate vaccination into work hours (not during lunch breaks)
  • Eliminate logistical barriers — the nurse comes to the office
  • Example of management – managers get vaccinated first
  • Offer vaccines free of charge or at a reduced rate for employees

We provide internal communication templates (email, poster) upon request to maximize participation.

Is the vaccination campaign tax-deductible for the company?

As a general rule, healthcare expenses incurred by an employer for its employees can be considered deductible business expenses. Workplace vaccination campaigns typically fall into this category. We recommend confirming the precise tax treatment with your accountant or tax advisor, as rules may vary depending on your company's structure.

Can you vaccinate at multiple sites or branches?

Yes. We can organize multi-site campaigns in coordination with your HR team, scheduling separate visits on different dates. For companies with multiple branches in Quebec, we adapt the logistics to each location. A single point of contact at Clinique Omicron coordinates the entire multi-site program.

When is the best time to plan the flu campaign?

The ideal time for flu vaccination is October and November — before the flu season settles in Quebec (December to March). The vaccine takes about 2 weeks to be fully effective. We recommend submitting your submission request as soon as September to ensure the availability of nurses and vaccines on your chosen dates.
